Richmond Volleyball Beach Division Booking Terms & Conditions

These Terms & Conditions will apply to any booking (including, but not limited to training sessions, tournaments, leagues, camps and events) offered by Richmond Volleyball Beach Division. Please read these terms carefully before making a booking. By submitting a booking form through our website www.richmondvolleyball.co.uk or through or team app page (https://richmondbeach.teamapp.com/) you agree to these terms.

1. Tournaments/Events

1.1 Tournament Bookings

Entries to our tournaments will be on a first-come-first-served basis. Your entry is confirmed via email upon submission and payment.

If the tournament is full you may join a reserve list. We do not require a payment to join the waiting list. Should a place become available, we will contact teams on the waiting list via the email address provided. If a payment has been taken and the tournament is full you will receive a full refund.

For tournaments part of the UK Beach Tour (UKBT), all players are required to provide a valid UKBT Membership number. Players without valid UKBT Membership will not be able to participate in the tournament. Richmond Volleyball will not refund entry fees if you are excluded from the tournament as a consequence of providing an invalid UKBT Membership.

1.2 Tournament cancellations

To cancel your booking please email beach@richmondvolleyball.co.uk as soon as possible. The following refund policies apply:

  • Teams can cancel a tournament entry up to 14 days in advance of the event by emailing beach@richmondvolleyball.co.uk and we will issue a full refund.
  • If a team cancels less than 14 days, but more than 96 hours (4 days) in advance, refunds will only be issued if there is a team on the waiting list to take their place. If there is no team on the waiting list, we will issue a credit note for the same value to be used at future events.
  • If a team cancels less than 96 hours in advance, neither refunds or credit notes will be issued.

If Richmond Volleyball cancels an event you will be notified as soon as possible. We will make every effort to offer you a place at an alternative event of the same value. If no suitable alternative event can be provided, you will receive a full refund.

Beach volleyball is an outdoor sport and all our events take place in all weather conditions. Only in exceptional weather will the event be cancelled. Richmond Volleyball does not offer refunds if the event is going ahead and the team due to weather conditions decide not to participate in the tournament.

1.3 Player Replacements

Teams can replace players on their team by emailing beach@richmondvolleball.co.uk prior to the event and providing all necessary player details.

2. Training Courses

2.1 Training course bookings

Spaces on our training sessions are strictly limited and allocated on a first-come-first-served basis. If a course is full, you can join a reserve list by emailing beach@richmondvolleyball.co.uk.

Unless advertised as a “Pay-as-you-go” session, all training sessions are available as block payments only. Players/parents are responsible to ensure that they/their child can attend the training times they have booked and where reasonably possible attend all sessions. Richmond Volleyball under no circumstances will offer refunds (neither in full or partial) for missed sessions within a training block.

Subject to availability, players can join a course after it has already started. In this case, discounts for the missed sessions may be offered, but this is at the discretion of Richmond Volleyball.

Richmond Volleyball aims to provide courses for all ages and abilities. Should a player, based on the advice of our coaches, be deemed not suitable for a booked training group, all efforts will be made to find an alternative training group. If no alternative group can be found, a full refund minus any sessions already attended (pro-rata) will be issued.

2.2 Training cancellations

To cancel your course booking please email beach@richmondvolleyball.co.uk as soon as possible. The following refund policies apply:

  • Players/parents can cancel a course up to 7 days in advance of the first session by emailing beach@richmondvolleyball.co.uk and we will issue a full refund.
  • If players/parent cancels a course less than 7 days in advance of the first session, we will refund 50% of the value of your booking.
  • No refunds will be offered under any circumstances for cancellations on the day or after the first session.

If Richmond Volleyball has to cancel an entire course, all efforts will be made to find an alternative course for the player. If no suitable alternative date can be found, a full refund will be issued.

If Richmond Volleyball has to cancel an individual training session, all efforts will be made to run the session on an alternative date. If no alternative date can be found, a pro-rata partial refund will be issued.

2.3 Camp bookings

Enrolment to our camps is on a first-come-first-served basis. Your application is accepted as confirmed once payment has been received.

Parents are required to fill in the Camps Registration and Consent Form provided to you before the start of the camp and either email it to beach@richmondvolleyball.co.uk or bring it along for the first day of the camp. Children without this form may not be able to participate in the camp activities and no refund will be issued.

2.4 Camp cancellations

To cancel your camp registration please email beach@richmondvolleyball.co.uk as soon as possible. The following refund policies apply:

  • Players/parents can cancel up to 21 days in advance of the first day of the camp by emailing beach@richmondvolleyball.co.uk. In this case, a full refund will be issued.
  • If you cancel less than 21 days in advance of the first day of the camp, we will issue a credit note for the same value to be used at future events.
  • If you cancel less than 96 hours (4 days) in advance of the first day of the camp, neither refunds or credit notes will be issued.

2.5 Open (“Pay-as-you-go”) sessions

Spaces for our open sessions are strictly limited and allocated on a first-come-first-served basis. Tickets for our open sessions can be purchased on the Richmond VB Beach Team App only. We can not accept cash payments.

In order to give everyone a chance to play, players can only pre-book one games session and one training session per day. If there are still spaces available on the day, additional sessions can be booked before the start of the session.

2.6 Open (“Pay-as-you-go”) sessions cancellations

To cancel your open session booking please email beach@richmondvolleyball.co.uk as soon as possible. The following refund policies apply:

  • Players can cancel up to 24 hours in advance of the session by emailing beach@richmondvolleyball.co.uk. In this case, a full refund will be issued.
  • If you cancel with less than 24 hours in advance of the session, no refunds will be issued.

If Richmond Volleyball has to cancel an open session, a full refund will be issued.

3. Beach Season Memberships

Beach Season Membership is usually valid 1st April – 31st March. If you want to cancel your membership before it expires, please email beach@richmondvolleyball.co.uk. The following refund policy applies:

  • If you cancel before your beach vest or t-shirt has been ordered and you have not made use of any of the discounts or member-exclusive sessions/courses that come with the membership a full refund will be offered.
  • No refunds will be offered if you cancel after you made use of any of the discounts or member-exclusive sessions/courses.

4. Our Coaches

Our coaching staff hold suitable coaching qualifications, have been subject to Disclosure and Barring Service (DBS) checks and trained in child safeguarding and first aid. There will always be at least one of them present at each event or training session.

5. Photography

Please note that from time to time we may take photographs at our events, camps and courses. If you do not wish to be photographed, please notify us by contacting beach@richmondvolleyball.co.uk.

The club may want to publish photographs for promotional purposes in print, on their website, Facebook page and Twitter feed. If you do not wish your photo to be published, please notify us by contacting beach@richmondvolleyball.co.uk.

6. Health and Safety

If you/your child have any specific dietary requirements, are taking medication, have allergies or any special needs that will affect your/your child’s participation at our event/course, it is your responsibility to inform us and provide all necessary details.

It is your responsibility that you/your child is attired safely for playing beach volleyball and uses adequate protection from hot or cold weather.

7. Liability

Richmond Volleyball & Teddington Sports Centre are not responsible for any damage or loss to personal items or injury incurred by participants or their dependents during the event/course.

8. General Club Policies and Procedures

All our club policies and procedures apply to our beach events. They can be found on our website at https://www.richmondvolleyball.co.uk/our-club/policies-and-procedures. Please make sure you have read and understood them before registering for a beach event.

All players/parents also need to comply with rules by the individual venues used by Richmond Volleyball.
