Men/Boys’ Division – Terms and Conditions
Welcome to Richmond Volleyball Club! We are delighted to have you as part of our community. These Terms and Conditions outline what you can expect from us, and what we expect from you. Please read them carefully to help ensure a safe, supportive, and rewarding environment for all players, parents, and coaches.
1. Membership Eligibility
1.1 Membership is open to all those who are keen on developing their volleyball skills and meet the behavioural expectations of the club.
1.2 All prospective members must complete a membership application through Spond, our official club management app. This includes providing emergency contact information and any relevant medical details.
2. Code of Conduct
2.1 All members are expected to behave respectfully towards teammates, opponents, coaches, referees, and spectators, both during and outside of matches.
2.2 The club has a zero-tolerance policy on bullying, aggressive behaviour, or verbal abuse. Unsportsmanlike conduct may result in disciplinary action, including suspension or termination of membership.
2.3 Players must follow instructions given by coaches and club officials during training sessions, matches, and club events. Mutual respect and cooperation are essential for a productive learning environment.
3. Training and Attendance
3.1 Players are expected to attend all scheduled training sessions and to confirm attendance via Spond in advance.
3.2 If a player cannot attend, it is their (or their parent’s) responsibility to notify the coach through Spond as early as possible.
3.3 Training groups are subject to change throughout the season. Players may be reassigned to a different group, or training days and venues may shift based on coach availability, facility access, or team needs.
3.4 While we understand that occasional absences are unavoidable, regular attendance is essential for player development and team cohesion.
4. Team Selection and Player Development
4.1 Unfortunately, not all players can be selected for tournaments or matches. Coaches will make decisions in the best interests of both the individual and the team. Please make yourself aware of our Playing Time Policy.
4.2 Our coaches are experienced volunteers who dedicate considerable time to support each player’s growth. Please respect their decisions and engage in open, respectful communication when discussing your child’s development.
5. Fees and Refund Policy
5.1 Membership and training fees must be paid in full by the due dates communicated by the club. Payments are made online via Spond.
5.2 Annual membership fees are non-refundable.
5.3 No refunds (full or partial) are issued for missed training sessions due to illness, holidays, or other absences.
5.4 In the event that a player is deemed by the coaches to be unsuitable for their initially assigned training group, the club will attempt to reassign them to a more appropriate group. If no suitable alternative is available, a pro-rata refund will be issued, minus the cost of any sessions already attended.
5.5 In cases of long-term injury or exceptional personal circumstances, a partial refund or credit may be considered at the club’s discretion. Evidence such as a medical note may be required.
5.6 Participation in tournaments will incur additional fees. Tournament participation is optional but must be confirmed in advance when fees are requested.
6. Equipment and Attire
6.1 Players must wear appropriate sportswear to all sessions, including clean indoor trainers that do not mark floors. Trainers must not have metal studs or components.
6.2 The club provides essential training equipment (balls, nets, etc.), but players must bring personal items such as water bottles, knee pads, and any required medication.
7. Health and Safety
7.1 It is the responsibility of parents/guardians to inform the club of any medical conditions, medications, allergies, or special needs that may impact a player’s participation.
7.2 First aid will be administered by a qualified individual if needed. By registering, parents/guardians give consent for emergency medical treatment if necessary during a club session or event.
7.3 The club reserves the right to request a medical clearance if a player returns from injury.
8. Privacy and Data Protection
8.1 The club handles all personal data in line with its Privacy Policy and GDPR regulations. Data is securely managed via the Spond platform.
8.2 Members can access their data via Spond and can withdraw consent at any time by contacting male@richmondvolleyball.co.uk.
9. Communication and Use of Spond
9.1 The Spond app is the club’s primary communication channel for training updates, schedule changes, team announcements, and events.
9.2 All members (or their parents) are expected to regularly check the app and keep their contact information up to date.
10. Membership Termination
10.1 The club reserves the right to suspend or terminate membership at its discretion for violations of these terms, disruptive behaviour, or repeated absences without notice.
10.2 Members may terminate their membership by giving written notice via email.
11. Changes to These Terms
11.1 Richmond Volleyball Club may amend these Terms and Conditions at any time. Members will be notified in advance of any significant changes.

By completing registration, you acknowledge and agree to abide by all club policies, available on the Richmond Volleyball Club website, particularly the club’s Privacy Notice and the Code of Conduct.
